Context of role
  • Business tourism accounts for a £137 million spend in York and brings over 16,000 delegates to the city annually.  VisitYork4meetings is one of the core brands of Make It York with the sole purpose of marketing the city to bring high value business visits, conferences and events.

  • Key stakeholder relationships:A range of Visit York venue members and tourism bodies including Visit England and Visit Britain.

Main purpose of role
  • To proactively look for generate and convert conference and event leads assisting with the continued development and promotion of York as a Conference destination. To maximise all revenue commissions through the VisitYork4Meetings venue and delegate booking services.
  • Main responsibilities and key tasks
  • Enquiry handling processing conference enquiries from start to finish, ensuring sales are converted from the initial enquiry. Provide an efficient service to encourage repeat bookings via the VisitYork4Meetings venue finding service.  Ensure all confirmed bookings are followed up post event and feedback is actioned where necessary.
  • Delegate Accommodation bookings: oversee the running of the delegate accommodation booking service, ensuring financial targets are hit through efficient processing of enquiries for clients and providers.  Proactively seek venues and conferences requiring the accommodation booking service.
  • Undertake research via telephone, web, media and other forms of direct and indirect communication for association congresses that have the future potential to be hosted in York.
  • Key relationships: make direct contact with clients including local ambassadors and national associations, to build and maintain strong working relationships.  Work closely with stakeholders to maximise opportunities, prepare bid documents and present the city.
  • York Knowledge: demonstrate good knowledge of York its venues and the variety of events the city is able to host.  Independently conduct show rounds of York venue and hosting familiarisation trips as required.
  • Sales Leads: enter new leads into the database system and update existing records with current research as well as following a continuous account maintenance programme of account profiling and development.  Take ownership of venue and client details held on GRATIS database system to ensure venue contact details are up to date and accurate, inputting any new details as soon as they are received.
  • Maintain a clear and concise pipeline of research opportunities, against financial year end targets.
  • Reporting: achieve and report on weekly and monthly targets against set criteria and KPIs, monitor targets and update the team on booking trends.
  • Trade Shows: assist with research, qualify and secure face-to-face appointments with clients at industry tradeshows.  Attend trade shows and educational workshops, to promote York, meeting with potential clients, network to build new connections.  Travel within the UK and abroad will be required periodically.
  • Trade Exhibitions: support and attend domestic (generally London based) and occasional international business tourism exhibitions.  This will include support with stand share recruitment, driving, hosting and presenting all on stand sales appointments.
  • Work with accounts team to ensure all conference and delegate commission is invoiced accurately and on time.
  • Coordinate quarterly sales managers meetings including booking venue, organising guest speakers, invites, agenda and updating the sales managers on city wide enquiries conversions and other activity.
  • Support Business Tourism Manager and Business Tourism Marketing Executive in all other sales and marketing tasks as required.
Key personal attributes and experience
  • Passion for the city and knowledge of York venues.
  • Confident and able to communicate to all audiences both verbally and in writing, with the ability to establish a good rapport with a wide range of stakeholders and clients.
  • Target driven with experience of sales research and calls.
  • The ability and enthusiasm to research and qualify leads to take forward to the bid stage.
  • Strong organisational, administrative and IT skills with a sound understanding of Microsoft Office, Word, Outlook.
  • The ability to work independently, using initiative to improve and develop processes, manage workload and prioritise work.
  • Able to work effectively as part of a team.
  • A knowledge of the meetings industry.
  • Experience of using the venue finding GRATIS system.
Hours of work
  • Full time, 37.5 hours per week, Monday to Friday.
  • Some travel, evening and weekend work will be required.
